Volunteer Role Overview

You are the operational and relational “hub” for student involvement. When youth programs need student participation—moderated Q&As, encouragement messages, panels, career/college inspiration moments, or other structured interactions—you make it happen smoothly, safely, and in a way that reflects our mission.

What success looks like

  • Students show up prepared: clear expectations, talking points, and confidence.
  • Youth feel seen: authentic interactions that are inclusive, positive, and inspiring.
  • Participation is policy-aligned and safe: consent, privacy, documentation, and youth-safety steps are followed consistently.
  • Feedback improves the program: post-event insights collected and shared for iteration.

Key Responsibilities

  • Recruit, train, and manage a volunteer Student Ambassador Team to support student engagement logistics.
  • Coordinate all student engagement across Cougs 4 Kids programming (virtual and in-person).
  • Ensure student involvement aligns with university/partner guidelines, youth-safety protocols, privacy expectations, and any required documentation.
  • Prepare students for their roles (e.g., moderated Q&As, panels, encouragement messages) with guidance, rehearsal, and clarity.
  • Maintain a strong communication loop between students, advisors, event leads, and program staff.
  • Maintain consent and media-release tracking (when applicable) and ensure respectful, safe, and age-appropriate interactions.
  • Monitor satisfaction and impact for both youth and students using post-event feedback tools.
  • Partner with Marketing & Outreach to celebrate student involvement publicly (with consent).

You Will Oversee These Volunteer Roles

You’ll lead a small “pod” of volunteers (the Student Ambassador Team) to keep student engagement consistent, scalable, and well-run. Sample roles include:

  • Student Engagement Coordinator – Builds relationships, manages reminders, flags conflicts.
  • Scheduling Assistant – Maintains the shared calendar; coordinates with students.
  • Virtual Session Producer – Supports live tech (Google Meet, breakout rooms, screen share).
  • Documentation & Consent Tracker – Manages consent and media-release tracking (when applicable) and required documentation.
  • Student Preparation Coach – Provides talking points, presentation help, rehearsal support.
  • Youth Engagement Facilitator – Moderates Q&As, preps youth questions, supports positive interaction.
  • Recognition Coordinator – Sends thank-yous, digital badges, student features.
  • Privacy Assistant – Helps ensure privacy and safe communication practices are followed.
  • Digital Content Liaison – Collects and transfers student-generated content for outreach (with consent).
  • Feedback Collector – Gathers and synthesizes feedback (Google Forms).

Qualifications

  • Passionate about youth development and post-secondary education.
  • Familiar with WSU culture and student life.
  • Organized and experienced in coordination, documentation, and/or volunteer leadership.
  • Comfortable working with Google Workspace (Calendar, Meet, Forms, Drive).
  • Professional and discreet—especially around privacy, scheduling, and youth-safety practices.
  • Committed to cultural humility and uplifting diverse youth voices.

Time Commitment

  • Planning & Prep: ~5–10 hours/month
  • Final 4 weeks before camp: ~10 hours/week
  • During camp: Full-time for 5–7 days
  • Post-camp debrief & reporting: ~5 hours

Note: “Camp” refers to Cougs 4 Kids program moments that include coordinated student involvement. Your core work is planning and coordination, with increased intensity as events approach.

Volunteer Requirements

  • Minimum one-year commitment.
  • Valid driver’s license.
  • Background check and youth protection training.
